Business Service Terms
These terms govern scheduled transportation service provided to HelixRide business accounts, in addition to the general HelixRide Terms of Service.
Fare calculation
Fares for business rides are calculated using HelixRide's standard fare structure for the requested vehicle category, distance, and time, plus any applicable charges described below. HelixRide confirms pricing before a ride is treated as confirmed.
Quotes and price confirmation
A quote is an estimate. A price is confirmed only once HelixRide provides written confirmation of the scheduled ride.
Minimum advance notice
Business rides should be requested with as much advance notice as possible. Shorter notice may limit vehicle availability or pricing options.
Waiting time and grace periods
A grace period applies at pickup before waiting-time charges begin. Extended waiting time beyond the grace period may be billed as an additional charge.
Cancellations
Rides may be canceled by an authorized booker before the scheduled pickup time. Cancellations made with sufficient notice are not charged; cancellations made close to pickup may incur the late-cancellation charge described below.
Late cancellations
Cancellations made after the applicable cutoff may be billed as a clearly labeled cancellation charge rather than treated as a completed ride.
No-shows
If a passenger is not present at the confirmed pickup location within the applicable grace period and cannot be reached, the ride may be billed as a no-show charge.
Parking and tolls
Tolls and parking charges incurred during a business ride are passed through as itemized charges on the invoice or passenger receipt.
Additional stops
Stops beyond the itinerary confirmed at booking may incur an additional-stop charge.
Itinerary changes
Changes to a confirmed itinerary (pickup, destination, time, or passenger count) must be submitted by an authorized booker and are subject to availability and updated pricing confirmation.
After-hours requests
Requests outside standard operating hours are handled on a best-effort basis and are subject to availability.
Cleaning or damage
Damage to a vehicle beyond normal wear, or a mess requiring special cleaning, may result in a separate charge billed to the responsible account or passenger.
Gratuities
Gratuities are not required for business account rides. Where offered, they are itemized separately and never bundled into other charges.
Taxes and fees
Applicable taxes and fees are itemized on invoices and passenger receipts.
Refunds
Refund requests are reviewed on a case-by-case basis. Approved refunds are issued to the original payment method through Stripe.
Billing disputes
Billing disputes must be submitted in writing to the accounts-payable contact on file within a reasonable time of invoice receipt. HelixRide reviews disputes before any adjustment, credit note, or corrected invoice is issued.
Overdue accounts
Invoices are due within days of issuance. Overdue balances may result in a payment reminder, and continued non-payment may lead to account suspension.
Account suspension
HelixRide may temporarily suspend a business account's company-billing access for overdue balances, credit-limit violations, or misuse. Suspension is reviewed manually and communicated to the account's contacts.
Passenger conduct and safety
Passengers traveling under a business account are expected to follow the same conduct and safety standards as all HelixRide riders. HelixRide may decline or end service for conduct that threatens safety.
Recurring transportation
Recurring or scheduled routes are coordinated in advance and remain subject to the same confirmation, pricing, and cancellation terms as individual scheduled rides.
